A bot that only answers questions is cheap. A bot that reads and writes to your CRM, calendar, and inventory system in real time costs meaningfully more, because each integration is its own piece of engineering.

Hidden costs people forget

Three costs that live outside the build quote and outside the retainer, and that a lot of first-time buyers don't budget for.

API/token costs

Every AI conversation costs a small amount to run against the underlying model. For most SME-scale deployments this is a modest monthly figure, but it's billed separately by the model provider, not included in the agency's fee, and it scales with volume, so it's worth asking your provider to estimate it upfront.

WhatsApp fees

Meta charges per conversation once you're past the free tier, and your Business Solution Provider typically adds its own platform fee on top. Covered in detail on our WhatsApp Business API page, but budget for it separately from the build cost.

Maintenance

Covered above, but worth repeating here because it's the cost most commonly left out of a first budget entirely: a system that isn't maintained degrades, and the degradation is invisible until a customer notices it.

Cheap vs. expensive providers: what the difference buys

A low quote usually means one of a few things: a template bot with minimal customization, a freelancer working alone with no ongoing support structure, or a scope that quietly excludes integrations you'll need and discover are "extra" once you're already committed. A high quote from an established provider usually buys real discovery work, tested edge cases, proper Arabic QA, and a support structure behind the build, not just the build itself.

It works for genuinely simple, single-purpose bots. It stops working once you need real integrations, Arabic that actually sounds natural, multi-step logic, or anything that has to be reliable enough to represent your business unsupervised. Most businesses that start DIY end up hiring help once they hit that ceiling, so it's worth being honest with yourself about which side of it you're on before you commit weeks to a no-code build.

A single well-chosen workflow, the one costing you the most missed leads or the most manual hours, often costs less than a mid-range chatbot build and proves the concept before you commit to anything larger.
